Common Printer Issues

Don’t let printer issues keep you from meeting a deadline. It happens to the best of us, but we can give you a few pointers on what to do when the most common printing problems arise.

Communication Error

Usually, when something malfunctions, the first thing you try to do is wiggle a few wires. This may have proven to be ineffective most times, but sometimes a fault can actually be caused by a loose connection or a cable that got pulled out of its socket. Be sure to also check your network connections and that documents are being sent to the correct device.

Paper Jam

Paper jams can be caused by dirt, worn rollers, or poor quality paper. Cleaning and regular maintenance of your printer, as well as using better paper, can help prevent jams. When you have to remove a paper jam, remember to pull the paper in the direction of the paper path. Pulling it backward can damage your printer.

Ghosting

Ghosting is when the image prints properly, but a much lighter copy of the image prints elsewhere on the page. It can be caused by an issue with the power supply, so check the outlet by plugging in a different printer to see if the same thing happens. It can also be caused when consumable printer parts are reaching the end of their useful life, so contact your supplier for maintenance.

Toner Smudges

Your toner may smudge if the fuser assembly is damaged or is reaching the end of its life and needs to be replaced. You may also be working with a defective toner cartridge that is letting out too much toner at one time. Perhaps some toner has spilled in the printer and it just needs a good cleaning.

Printing Paper from the Wrong Tray

If your printer is printing paper from the wrong tray, either the print settings on your device or app sending the document to print is set incorrectly, or the printer itself has an incorrect setting. Check the “Printer Properties” on the sending device to make sure the correct tray is selected. Then check on your printer to make sure the paper sizes in the control panel are the same as what is in the paper trays.
